Messaging

Messaging is the primary function of your Webphone Conversations. Send messages to convey quick information or to share relevant files and links.

How Can I Use Messages?

Messages can be used for:

  • Sending a reminder or agenda before a meeting

  • Informing a teammate about a project concern

  • Congratulating a teammate

  • Sending an idea to your entire team using the General Webphone

Managing Messages

Webphone enables you to make corrections by editing and deleting messages. You can also forward messages to other users.

Editing a Message

To edit a message, follow these steps:

  1. Find the message and hover over the right side until the three-dot icon () becomes visible. You can only edit messages that have already been sent.

  2. Click on Edit from the displayed menu options. You will then be shown the original message and the option to change the text.

3. After you have made your desired changes, click Save. If you no longer wish to keep the changes, click Discard.

Note: The edited message will have the word Edited displayed next to it in the conversation.

Deleting a Message

Deleting a message is similar to editing a message. Follow these steps:

  1. Go to the message and hover over the right side until you see the same three-dot menu icon.

  2. Click on Delete and you will be shown the original text and the option for deletion. If you have changed your mind and would like to keep the original text, simply click Discard.

3. The phrase "Deleted the Message" will now be displayed in place of the original message.

Forwarding a Message

You can easily forward messages in Webphone with the following steps:

Note: You can forward messages you have written as well as messages that others have created.

2. To select who will receive the message, search for your teammate or teammates from Groups and Topics.

3. Select the send icon to forward the message.

Filtering a Message

Within a message, filters can be set to display specific content.

To filter within a message:

  1. Navigate to the three-dot icon at the top right corner of the conversation.

  2. Select the menu option for Filter Activities. This will then prompt a sub-menu of three choices for Images Only, Files Only, and Calls Only:

3. Select the desired option and the corresponding data will show within the conversation. To remove the filter, deselect the chosen option and the entirety of the conversation will display once again.

Uploading Files and Images

Inside of a Group or Topic conversation, you can send images and files to other participants. Here's how to do so using your browser:

  1. Search for a file or image by name or upload it from your computer. This search serves as a File Directory for all of the files in your Webphone. You can also drag and drop the file into the upload space.

  2. Select the file. Click on the send icon and it will then be visible to the chat for others to view and download:

To upload a file or image using a mobile device, follow the below guidelines:

  1. Open the Webphone app on your mobile phone.

  2. From the main Conversations space, select the colleague in which you would like to send a file.

  3. From the Type a Message text bar at the bottom of the conversation, select either the image or file icon:

4. After selecting either icon, two tabs will display entitled Your Files and Gallery. The Files tab will show any currently saved images or files that have been used within your Webphone. It will also allow you to choose from other files on your device. The Gallery tab enables you to choose from images within your phone library. To access your photos, you may need to enable permissions from your mobile settings:

5. After choosing the desired file or image, it will appear within the conversation text bar for you to send (send icon). If you choose to cancel the action, you can delete the file by selecting the 'X' to the right of the displayed preview:

Using Emoticons

Webphone enables you to use emoticons within your team conversations.

You can use the emoticons as follows:

  1. A list of emoticons will be shown. Here, you can search for particular icons.

  2. After being selected, your emoticons will be sent along with your message!

Mentioning a Teammate

When creating a message in a Group or Topic, you can choose to notify specific people or groups to be included in the conversation.

To do so, type in the "@" in the text box of a conversation. You'll then be provided an option to select Notify Everyone in the Group, or to notify specific teammates.

Your teammates or group will then be notified of the message (the same concept applies to a CC or BCC in email threads). Notifying people also ensures that your new comment will appear in their Missed Activities tabs, as well.

Find the message you would like to forward. Hover over the right side of the message until you see a horizontal arrow icon (). Click on the icon to select the forwarding recipient.

Click on the paperclip icon () next to the Type a Message bar within the text space of a conversation.

In the conversation page, navigate to the bottom right of the page and click on the smiley face icon ().
