If you are the meeting host and would like to add meeting participants, follow these steps:
Click the "Add Participant" icon () above the attendee list.
You have the option to search for a person in Contacts, dial a number directly, or share a link via Share Link in order to receive your Magicall Link to share with the new participant.
Click the phone icon () to call them and add them to the meeting.
After clicking there, you will be presented with the options to Record Only Audio or Record Video and Audio. After making your selection, click on Start Recording.
When the call is being recorded, a red "REC" will be shown near the red end call icon.
As the host, you can also determine what others see on their screens.
Once you have selected which of these views you prefer, you must then select the checkbox next to Apply these Settings for All Participants in order for these changes to be configured:
Only the host has the capability to end a meeting.
As the host, follow these steps to do so:
Confirm that you would like to end the meeting by clicking on End Conference.
Note: After the call is ended, the conference name, organizer(s), start date/time and end date/time will be shown.
Meeting hosts have the ability to assign co-hosts in the event that they cannot fulfill their hosting duties. This ensures that hosting is not fully dependent on one user, and allows for flexibility if one host leaves a meeting or cannot join for other reasons. Only one user can act as a host during a meeting; if two co-hosts are assigned, the one that initiates the meeting will automatically become the host.
Hosts have a few different options when assigning a co-host. For example, they can:
Assign a host during a meeting
Assign a host when scheduling a meeting
Assign a host from the meeting details
To assign a co-host during a meeting, proceed with the following steps:
Identify the team member that you would like to assign. Click on their name and select More Options. This will prompt another option for Make Host. Note: If the host joined from an outside call, the Make Host option will not be available.
A confirmation dialogue will display confirming the selection. Select Make Host to confirm, or Cancel to exit the screen.
Upon confirmation, both the new host and the previous host will receive a notification of their new respective statuses.
Things to note for hosts:
If a host role is transferred during a meeting, all meeting settings will remain in place (screen sharing, microphone/camera status, participants, etc.)
A host has the option to leave the meeting at any time, which will result in full termination of the call.
If a host changes devices during a meeting, they can only assign a co-host using the web platform.
To assign a co-host while simultaneously scheduling a meeting, proceed with the following steps:
Select the creation form icon (plus sign) in the lower left corner of your Workspace screen:
2. Select Schedule Meeting from the list of options.
3. The Meeting Details page will open. After entering meeting information and settings, click within the search bar under the Participants section (your name will appear as the host underneath). Enter the name of the colleague you'd like to assign as the co-host.
4. Select the three-dot menu icon next to their name which will offer options to either Remove Participant or Add as a Co-Host. Click on Add as a Co-Host to proceed:
5. A dialogue window will open to confirm the action. Select Cancel to exit, or Add as Co-Host to automatically assign hosting privileges to your colleague:
To add a co-host from the Meeting Details, proceed by going to the Meeting Space:
Select the Meeting Details area by clicking on the name of the meeting at the top of the space.
Choose the second option from the available menus for Members:
3. From the list of members, choose the colleague that you would like to assign as the co-host. Hover over their name to reveal the More Options menu.
4. Select the option to Add as Co-Host. Once chosen, a confirmation dialogue will appear. You can either Cancel to exit the screen, or Add as Co-Host to confirm the action.
5. To reverse the action, simply select from the same More Options menu and click on Remove as Co-Host.
Anytime a co-host is either added or removed from a meeting, a notification message is sent to the Meeting Space.
During a meeting, you can view all participants on the left side under Attendees. In order to remove someone from the meeting, click the triple dot menu icon () next to their name. For that contact, you will have the option to Remove from Call. Once you click here, you will be prompted to cancel if an error was made or confirm if you would officially like them removed.
As the host of a meeting, you are able to record the call. To do so, go to the triple-dot menu () where you will see the Record Call option.
After the call, the recording will be available in the Meetings tab in the meeting information area. You can also search for recordings in the Meetings tab by going to the triple-dot icon () to the right of the Filter Meetings bar. There, you can select View All Recordings to view meeting recordings.
If you click the view icon () on the Dashboard of the call, you will be shown two options for view modes. There can be multiple participants or just one connected participant in view. The options look like this:
Click on the red phone icon () button in the bottom right corner of the meeting screen.
